Customer Service Manager

Location: Hollister, California, USA

Our Company

Founded in 1990 and headquartered in Hollister, California, United Genetics Seeds Co. has been developing and producing quality vegetable seeds for the global commercial market for over 25 years. A subsidiary of the Japanese Kagome Group, UG Scientist use traditional methods to the following species: tomato, pepper, cantaloupe/melon, watermelon, cucumber, eggplant, and squash. Not involved in any transgenic activity.

Job Purpose and Summary

Responsible for overseeing and directly administering sales and customer service activities assigned to the Customer Service Representatives (CSR) for UG USA. Overseeing CSR for Middle East and North Africa (MENA) and Americas while interfacing with Customers from other regions as well as UG Group Companies. Expediting and coordinating flow of work within or between internal departments, and reviewing orders or proposed agreements for conformity to company rates, rules, and regulations, generation of pro-forma invoices, shipping documentation and data entry. Follows up with Customer’s discrepancies and claims, verifying shipping orders & processing of orders through the warehouse.

Duties and responsibilities

  • Communicate with Customers on delivery needs, monitor inbound seed flow, follow up on work orders, quality assurance progress and expedite delivery per customer requests. Serve as liaison with production, quality assurance, warehouse, and shipping personnel.
  • Support all customers to assure maintenance and grow the business
  • Support all sales managers to assess priority and manage resources to maximize output.
  • Administer all contracts, prepare all documents for domestic and international shipments including pro-forma invoices, commercial invoices, letter of credit, work orders, shipping orders, quality and government certificates. Coordinate to ensure timely delivery.
  • Tracks shipments, provides proof-of-delivery, and files freight bills.
  • Assess areas of dispute with Customers, and amend orders when required. Generate correspondence to secure additional customer information or resolve customer disputes. • Coordinate requesting, packing and shipping of samples to send to customers.
  • Assist the accounting department with collections.
  • Evaluate incoming debits, investigate reasons cited, and match with appropriate internal documentation.
  • Issue credits per verified customer debits, internal management requests, or for billing error correction.
  • Maintain files of all documentation.

Supervisory Responsibility

  • Directly supervises employees in the Customer Service Department.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Position Dimensions and Qualifications

Internal Contacts:

Direct contact with Vice Presidents, Sales Managers, CSR’s, Controller, Quality Assurance, Production Manager, Operation and Logistic manager, Inventory Control, Warehouse Manager, Warehouse Personnel, HR Manager among others.

External Contacts:

Customers, government institutions, forwarding agent, freight companies

Educational Level and Focus:

Bachelor’s Degree with emphasis on Management, Business administration, trading, foreign freight and/or have the experience to perform the Job at list two years of customer service experience with international Customers.

Skills and Abilities:

Interpersonal and Communication:

  • Excellent written and verbal skills in formal and informal settings. Individual should be able to conduct him/herself professionally, have a high level of integrity and be able to demonstrate a sense of urgency.
  • Good communication skills thru phone/e-mail.
  • Perform duties with minimal supervision, team oriented, results driven, bilingual in Spanish preferred but not required.

Technical and Analytical:

  • Strong leadership skills, performance Management, computer with a throrough knowledge and comfort using MS Office, Windows, Inventory Control Systems and Internet.
  • High level of proficiency with MS Excel software, knowledge of arithmetic, algebra, geometry, statistics, and their applications

Administrative and Operations:

  • Excellent time management skills, must be self-motivated and able to prioritize tasks with attention to detail.
  • Team Player.
  • Planning and problem solving abilities.
  • Ability to work in stressful environment and meet deadlines.

Physical Demands:

  • Sitting at a computer terminal, standing, and use the telephone and computer for long periods of time.
  • Job requires accepting criticism and dealing calmly and effectively with high stress situations.

Work Environment:

  • Working in an office environment with moderate noise levels and interruptions.
  • Special Equipment Used: Specialized Computer based software, PC, 10-key calculator, fax and telephones.
