Executive Administrative Assistant, Research Labs
Location: College Station, Texas, USA Advanta US is an operating unit of Advanta, a global seed business that combines the most advanced techniques in conventional plant breeding with biotechnology to deliver world-class seed. Responsible for providing administrative support to the Research Station staff, including coordinating functions required for the office to run smoothly on a daily basis. This may include, but is not limited to, providing executive-level support to management, reception and telephone duties, office supply purchasing, filing, data entry and light bookkeeping.
Major Job Responsibilities:
- Assume receptionist duties, assist callers and/or refer to appropriate staff members as required.
- Provide executive administrative support to Research Station staff.
- Assist other executive staff with administrative and clerical duties as requested.
- Facilitate travel arrangements for domestic and foreign visitors and employees as needed.
- Generate necessary reports from company Enterprise Reporting systems.
- Receive and distribute mail and shipments, both incoming and outgoing.
- Prepare professional correspondence as needed.
- Order office supplies and monitor inventory.
- Facilitate special events and meeting planning.
- Maintain appropriate and professional relationships with colleagues, customers and vendors.
Job Skills & Requirements:
- 2+ years of clerical and/or administrative experience. Executive level administrative support preferred.
- Demonstrated written and oral communication skills.
- Demonstrated ability to work independently and as part of a team.
- Proven self-starter with ability to work effectively with limited supervision.
- Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
- Knowledge of general office machines and telephone system.
- Ability and willingness to work cooperatively with others.
- High degree of professionalism.
- Ability to interact effectively with colleagues and customers across the global organization.
- Experience with SAP preferred
- Bilingual – English/Spanish preferred
Educational Background:
- Associate’s degree or equivalent combination of education and experience.
- Bachelor’s degree preferred.
Travel Requirements:
Negligible. Possible local travel for various assignments and duties.
Compensation:
Commensurate with qualifications and experience.
