The Organization
The Asia and Pacific Seed Association (APSA) is a non-political provident association of enterprises and organizations in countries worldwide with a focus on the Asia-Pacific region. It is the largest regional seed association in the world. APSA members are involved in seeds and seed-related activities concerned with the increased production and trade of quality seeds.
The Association seeks an Event Organiser in hosting the Asian Seed Congress, the largest regional seed congress in the world. Each year the Asian Seed Congress gathers together members of the seed industry, including business executives, academicians, scientists and researchers, government officials and all others involved in the global seed industry. The Congress is held in a country belonging to the Asia Pacific region. In 2013 the Congress was held in Kobe, Japan with an attendance of over 1,400 delegates.
Duties and Responsibilities
The incumbent will work closely with a broad group of individuals and organisations driving the preparation and hosting of the Asian Seed Congress. The primary responsibilities of the incumbent will include:
- Development, production and delivery of the Congress and other APSA events at all stages;
- Delivering the events on time, within budget, that exceed expectations;
- Setting, communicating and maintaining timelines and priorities;
- Communicating, maintaining and developing relationships with all individuals and organisations involved in the events;
- Managing supplier relationships;
- Managing operational and administrative functions to ensure specific projects are delivered efficiently;
- Providing leadership, motivation, direction and support to the team;
- Conducting research, making site visits, and finding resources to help staff make decisions about event possibilities;
- Travelling to on-site inspections and project management meetings;
- Being responsible for all project budgets;
- Ensuring excellent customer service and quality delivery; and
- Proposing new ideas to improve the event planning and implementation process.
Qualifications and Experience
Essential
- Excellent communication skills, including writing, proof-reading, and speaking.
- Fluent in English and preferably other local languages of the region.
- Ability to manage multiple projects and work assignments from a variety of staff and volunteers.
- Excellent interpersonal skills both in person, email and by phone, with a high degree of professionalism.
- Ability to accomplish projects with limited supervision.
- Excellent customer service ethic and high expectations for quality.
- Proficient in posting information to websites.
Desirable
- Bachelor’s degree preferred; significant work experience can substitute for the degree.
- More than three (3) years experience in office administrative management.
- More than one (1) years experience in coordinating special events.
Reporting
The incumbent will need to work directly with committees, working groups event management companies and contractors, reporting to the Director.
Salary and Conditions
A competitive remuneration package is negotiable commensurate with qualifications and experience.
Location
The principle location will be the APSA Headquarters based in Bangkok, Thailand. An alternative principle place of work and residence (preferably in the Asia-Pacific region) will be considered.
